      Log hours

Logging hours does not create an expense automatically — use "Post as payroll expense" on a row if you actually paid it out.

      Pricing

Wholesale cost per stem, bundles needed, and retail price at your markup.
How the math works: cost per stem = bundle price ÷ stems per bundle. Soft goods (fresh flowers & foliage) are marked up 3×; hard goods (vases, foam, mechanics, ribbon) are marked up 2×. Bundles needed always round up — you can't buy half a bunch.

      Wholesale & markup calculator

Pick a saved flower to auto-fill stems per bundle and its last bundle price.

      Results

      Work backwards from a price

"She's got $150 a table — what can I put in it?" Answers that.

      Markup settings

Labor is charged as a percentage of the marked-up flowers and lands on every quote. Your hourly rate is separate — it's what the Hours tab uses to work out what a job actually cost you. The waste buffer pads stem counts before bundles are calculated, so you don't come up two stems short — it only applies to soft goods (flowers/greens), since hard goods (vases, ribbon, cards, etc.) don't wilt or break the same way and shouldn't be over-bought.

      Wholesaler price lists

Every wholesaler charges differently. Set their prices here, then pick who you're buying from on an order and all the numbers follow.
Got a spreadsheet, PDF, or even just a photo of the list they emailed you? Upload it here — pick who it's from up above first, then you'll get a chance to check every price before anything changes.
Prices update every week — this saves a snapshot of what's set now (so you can still look back at it), then clears it so this week's new sheet doesn't get mixed in with last week's leftovers.

      Flower ID practice

Quiz mode built from your flower library's photos — click the little photo icon on any row in the library below to add one, then come back here. Good warm-up for CDE-style flower ID.

Stems per bundle varies by grower — edit any number here and every calculator picks it up.

Nothing here is a real order yet. Everything above is a working draft — it won't show up on your Calendar, Inquiries, or anywhere else until you hit Save order below. (The draft itself is safe either way — close the tab or come back later and it'll still be here, exactly as you left it.)

      Paste an inquiry

Paste one or a dozen. Each becomes its own inquiry with the name, event type, date, budget and where they found you filled in — all editable, and you can delete it or push it straight to In-Progress.
Anything you leave blank, we'll try to work out from what they said.

      Shopping list

Everything you need to buy, by wholesaler — a running cart plus what your in-progress orders still need.
To add specific bundles, go to Pricing → Wholesaler prices, pick this same wholesaler there, and click + Cart on any row — they'll show up here.

      Shopping cart

Bundles you've added while browsing a price list — handy for a weekly restock that isn't tied to a specific order.

      Build a wholesale order

Uses the wholesaler picked above. Pulls together everything your in-progress orders still need from them — skipping anything already marked Ordered or Got it — into one order sheet you can print, save, or send.

      Getting started

A short tour of what's here and how the pieces fit together. Reopen any of these any time — nothing to memorize.
      The five-minute tour
      1. Set up your studio — Settings → Studio. Your name, logo and contact info. It shows up on every quote and invoice.
      2. Set your pricing defaults — Settings → Defaults. Your markups, labor rate and tax rate. Get these right once and every order after that prices itself.
      3. Create your first order — Create order in the sidebar. Paste an inquiry to autofill it, or type it in by hand, add arrangements, and it works out the price.
      4. Log money as it moves — Accounting → Income / Expenses. A few seconds each time keeps the Overview page accurate.
      5. Turn off what you don't use — Settings → Tabs. Most studios only touch five or six of these day to day. Hiding the rest doesn't delete anything.
      Orders & quotes
Every order starts as an inquiry and moves through Inquiries → In-Progress → Completed. Create order is the guided builder — pick arrangements and it works out cost, markup and price as you go. Once an order has a price, open it and use Shareable link to send your client a page they can view — and sign — without an account of their own. Calendar lays out everything that's due, day by day.
      Pricing & inventory
Pricing is your flower library and the calculator behind it — cost per stem, bundles needed, and retail price at your markup. Inventory tracks what's actually in the cooler; booking an order pulls stems from it automatically, and it flags what's low or past its use-by date. Wholesalers is your vendor book — reps, price lists, and what you actually spend with each one.
      Money — accounting
Log income and expenses as they happen, and hours if you're tracking labor. Link any entry to an order to see what it actually made. Net overview rolls it all up by month, with a running total and a year-end CSV — including a QuickBooks-ready export if you use that.
      Clients & leads
Inquiries has three views: Inbox for new messages (paste an email or DM and it autofills the details), Quotes for anything you've priced but not booked, and Leads for people who filled out your public request-a-quote page. Find that page's link under Settings → Share — put it on your website or Instagram bio and requests land right in your Inbox.
      Your team
If you've turned on real accounts, Settings → Team is where you invite people who work with you. Each person gets their own login with an invite code — they see and edit the same studio you do, but only you can remove people or start over from scratch.
      Make it yours
Settings → Tabs hides tools you don't use. The sun/moon icon in the sidebar switches between light and dark. Your logo, colors and currency all live under Settings and follow you onto quotes and invoices.

      Settings

Your studio, your numbers, your team. Everything here flows through the rest of the app.

Terms of Service & Privacy Policy

These cover BloomDesk itself — the subscription software your studio runs on — not the substitution clause on your own quotes, which is still under Settings → Defaults. This is a starting template, not legal advice — it's worth having an actual attorney glance over both before you start charging strangers.
Terms of Servicelast updated August 2026

      1. Agreement to these terms. BloomDesk ("BloomDesk," "we," "us") is operated by BloomDesk. By creating an account or using BloomDesk, you agree to these Terms of Service and the Privacy Policy below. If you don't agree, please don't use the app.

      2. What BloomDesk is. BloomDesk is a web-based tool for florists and floral studios to manage orders, pricing, inventory, invoicing, clients, and payments. You're responsible for the accuracy of what you enter — pricing, quotes, and invoices you send to your own clients are your business decisions, not ours.

      3. Accounts. You need a valid email and password to sign up. You're responsible for keeping your login secure and for everything that happens under your account, including anyone you invite as staff. Tell us right away at bloomdeskhelp@gmail.com if you think your account has been compromised.

      4. Free trial & subscriptions. New studios get a 14-day free trial, no card required. After the trial, continued use requires a paid subscription (billed monthly or yearly through Stripe). Subscriptions renew automatically until cancelled; you can cancel any time from inside the app or by emailing us, and you'll keep access through the end of the period you already paid for.

      5. Refunds. If BloomDesk isn't working out, email us within 30 days of a charge for a full refund, no questions asked. After 30 days, refunds are handled case by case.

      6. Your data is yours. Everything you enter into BloomDesk — your studio info, orders, clients, pricing, photos — belongs to you. We store and process it only to run the app for you (see the Privacy Policy below). You can export a full backup of your data at any time from Settings → Data, and you can delete your account and data whenever you'd like.

      7. Acceptable use. Please don't try to copy, resell, scrape, or reverse-engineer BloomDesk itself, share a single paid account across unrelated businesses, or use the app for anything illegal. Normal use — running your own floral business, inviting your own staff — is exactly what it's built for.

      8. Third-party services. BloomDesk relies on other companies to work: Supabase (database & login), Stripe (billing and, if you connect a card reader, in-person payments), and Resend (email, only if you use the "email a PDF quote" feature). Each has its own terms and privacy practices for the piece they handle. We don't ever see or store your clients' card numbers — Stripe handles that directly.

      9. No guaranteed uptime. We work to keep BloomDesk available and reliable, but like any web service it can occasionally go down for maintenance or an outage outside our control. We recommend exporting a backup periodically from Settings → Data.

      10. Ending your account. You can stop using BloomDesk and cancel any time. We may suspend or end an account for non-payment or a clear violation of these terms, with notice by email where practical.

      11. No warranty; limitation of liability. BloomDesk is provided "as is." We don't guarantee it will be error-free or uninterrupted. To the extent allowed by law, BloomDesk isn't liable for indirect or consequential damages (like lost profits) arising from your use of the app; our total liability for any claim is limited to what you paid us in the 12 months before the claim.

      12. Governing law. These terms are governed by the laws of Texas, without regard to conflict-of-law rules.

      13. Changes. We may update these terms as BloomDesk grows; we'll update the date above and, for anything significant, let you know by email.

      14. Contact. Questions about these terms: bloomdeskhelp@gmail.com.

What this covers. This explains what information BloomDesk collects when you use the app, and what we do (and don't do) with it.

Information we collect. Account info (your email and password — passwords are handled securely by our login provider and never visible to us in plain text); your studio profile (business name, contact info, logo); the order, client, pricing, inventory, and financial data you enter to run your business; photos you upload; and basic technical info like browser type, needed to keep the app working correctly. We never collect your clients' payment card numbers — those go directly to Stripe.

How we use it. To run the app for you: storing and syncing your data, processing your subscription payment, sending service-related emails (like a receipt or, if you use that feature, a quote you asked us to email to your client), and fixing problems when you contact support. We don't use your business data to train any outside AI models, and we don't sell it.

Who we share it with. Only the service providers that make BloomDesk work: Supabase (hosts the database, running on Amazon Web Services infrastructure), Stripe (subscription billing, and in-person card payments if you connect a reader), and Resend (sends the email if you use "email a PDF quote" — only that specific email, only if you use that feature). Each only receives what it needs to do its job. We don't sell or rent your data to advertisers or anyone else.

Staff logins. If you invite staff, they can see the same studio data you can (that's the point of a shared login) — you control who's invited and can remove access at any time from Settings → Team.

Security. Data is encrypted in transit (HTTPS) between your browser and our servers. Access to the underlying database is locked down by row-level security so one studio's data is never visible to another. No system is perfectly unbreakable, but this is the same approach used by most modern web apps.

Your choices. Export a full copy of your data any time from Settings → Data. Delete your account and its data whenever you want — from Settings → Data if you're the owner, or by emailing us. Update your studio's info yourself any time under Settings → Studio.

Children. BloomDesk is a business tool and isn't directed at children; it's not intended for anyone under 18.

Changes to this policy. If this changes in a meaningful way, we'll update the date above and let you know by email.

Contact. Questions about your data: bloomdeskhelp@gmail.com.
